Promoting Your Flu and/or COVID Clinic
Resources to help promote your clinic
Now your workplace flu clinic has been scheduled, it’s time to promote the clinic to staff. In this section, we’ve included resources to assist you with promoting the clinic and to encourage staff to make an appointment for their flu vaccination.
1. Email your staff
Choose the email template appropriate for your clinic:

2. Create your flu poster with QR code
Print multiple copies of your customised clinic poster with the QR code and put them up around the office. This allows staff to conveniently use their phones to scan the QR code and be taken directly to the online appointment site to make their appointment.
If your staff are unlikely to book their own appointments, set up a ‘Registration Table’ onsite or schedule a staff member to walk around the workplace to assist with appointments.
3. Add images/info to your intranet
Promotion pays off: the more you promote your clinic, the more likely you are to get a strong uptake from staff. Try using these images:
- On the home page of your intranet, with a link through to the online appointment site.
- On your email signatures for a few weeks leading up to the clinics.
- Around the office on posters/bulletin boards with information.
- Liaise with your IT Department and create a ‘Countdown Campaign’ to boost visibility and create awareness of how many days until the flu clinic.
